Introduction

cientos.app ("cientos", "we", "us") operates the cientos web application, which builds a Professional Twin from the documents you provide and helps you match to roles and prepare tailored application materials. This Privacy Policy explains how we collect, use, and protect your personal data.

We are based in Spain and act as the data controller for the personal data described here. We process personal data in accordance with the EU General Data Protection Regulation (GDPR) and applicable Spanish data protection law.

Personal Data We Collect

Depending on how you use cientos, we may collect:

  • Account data: your email address and authentication identifiers.
  • Documents and content you upload: CVs, cover letters, and other professional documents, together with the information they contain (such as work history, education, and skills).
  • Professional Twin data: the structured profile and derived information cientos generates from your documents.
  • Activity data: the companies and opportunities you search for or save, and the application assets you generate.
  • Usage and technical data: device and browser information, approximate location derived from your IP address, and log data.
  • Payment-related data processed by our Merchant of Record, Polar Software Inc.. We do not store your full payment card number.

How We Use Your Data

We use your personal data to:

  • build and maintain your Professional Twin;
  • match you to roles and generate tailored application assets;
  • operate, secure, and improve the service;
  • process payments and manage your subscription through our Merchant of Record, Polar Software Inc.;
  • communicate with you about your account and support requests;
  • with your consent, measure usage through analytics.

Our legal bases are performance of our contract with you, our legitimate interests in operating and improving cientos, your consent (for non-essential analytics cookies), and compliance with legal obligations.

Payment Processing and Sub-Processors

Payments are handled by our Merchant of Record, Polar Software Inc., who acts as the seller of record and payment sub-processor (Polar Software Inc.). When you make a purchase, your payment and billing information is collected and processed by them under their own privacy policy.

We receive only limited transaction data — such as confirmation of payment, your subscription status, and partial card details (for example the card brand and last four digits). We never store your full payment card number.

How We Share Your Data

We share personal data only with the providers needed to run cientos:

  • Google Firebase (authentication, hosting, and database).
  • Our Merchant of Record, Polar Software Inc., for payments and billing.
  • Analytics providers (such as Google Analytics), only where you have given consent.

We do not sell your personal data. We may disclose data where we are legally required to do so, or to protect our rights and the safety of our users.

Cookies and Tracking

cientos uses necessary cookies and local storage required for the service to function — for example to keep you signed in and to remember your cookie-consent choice. These are always active.

Non-essential cookies and trackers, including analytics such as Google Analytics, are only set after you opt in through our cookie banner. You can change or withdraw your consent at any time using the "Cookie preferences" control in the footer; changes take effect immediately.

Data Retention

We retain your account and Professional Twin data for as long as your account is active. You can delete individual documents or your entire account at any time.

When you delete data or close your account, we remove or anonymise the associated personal data within a reasonable period, except where we must retain certain records to meet legal obligations (for example tax and accounting records relating to payments).

Your Rights

Under the GDPR you have the right to:

  • access the personal data we hold about you;
  • have inaccurate data corrected;
  • request erasure of your data;
  • restrict or object to certain processing;
  • receive your data in a portable format;
  • withdraw consent at any time, without affecting prior processing.
